Inclement Weather Policy for Staff and Volunteers at Mobile Meals
At Mobile Meals, the safety of our team, volunteers, and meal recipients is our highest priority.
Inclement weather can pose challenges to our operations, and we have established the following
policy to ensure everyone’s safety while continuing to meet the needs of our community:
Weather Closing or Delay Decisions
• Decisions regarding weather-related closures or delays will be made as early as
possible, preferably at least 48 hours in advance, as storm predications gain confidence in the
extent of the weather event.
• Notifications will be sent to staff (email/text), volunteers (email/text/call),
and meal recipients (communicated via volunteer day before and closing scroll on WSPA) promptly
once a decision has been made.
Frozen Meal Distribution
• Whenever possible, a frozen meal will be provided to recipients the day before a
potential weather closure. This ensures they have a meal on hand if Mobile Meals cannot deliver a
hot meal on the scheduled day. The delivery volunteer will make sure the recipient knows that
Mobile Meals will be closed the following day.
Safety Considerations
• Mobile Meals always errs on the side of caution when assessing weather conditions.
• While our goal is to deliver a hot meal and check on recipients each weekday, we
recognize that the safety of our volunteers and staff comes first. Hazardous driving conditions
such as ice, snow, flooding, or severe storms may necessitate a suspension of deliveries.
• Volunteers should exercise their own judgment regarding personal safety. If a
volunteer feels uncomfortable driving in certain conditions, they are encouraged to notify Mobile
Meals as soon as possible.
Communication
• Staff and volunteers will be notified through the established communication
channels (e.g., email, text, phone calls) regarding closures, delays, or adjusted schedules.
o Emails will be sent to all volunteers who are assigned for that impacted day
o Text messages will also go out to all scheduled volunteers
o Posts will be made on the social media page
o Signs will be posted in the volunteer area as soon as possible
o The phone message will be adjusted for the main office line
o Whenever possible, a note will be attached to route sheets notifying drivers the day
before to alert recipients about the closure the following day.
• Recipients will be informed through the appropriate means to ensure they are aware
of the changes and the provision of frozen meals.
o In the event of a multi-day closure (3+ days), Mobile Meals team members will organize
welfare calls to ensure recipients are okay.
Commitment to Recipients
• Mobile Meals remains committed to supporting our recipients. In the event of a
closure, we will rt to resume regular deliveries as soon as it is safe to do so.
